Pay your invoice

We bill through QuickBooks Payments. Card and bank details are entered on Intuit’s secure page and never touch ours — here is how that works, and how to tell a real invoice from a fake one.

Updated

EHR Express bills through QuickBooks Payments. Your invoice email carries a Review and pay button, and card or bank details are entered on Intuit’s own secure page — never on ours. That is deliberate, and it is explained below.

Ways to pay

Card

Visa, Mastercard, American Express and Discover. Payment is confirmed immediately and your receipt is emailed automatically.

Processing fee may apply · shown before you confirm

Bank transfer (ACH)

Direct from your practice account. Preferred for larger project invoices — no processing fee, typically clearing in two to three business days.

Best for project milestones and annual plans

Automatic payment

For monthly managed IT and hosting, you can authorise recurring payment inside the portal. You keep control — cancel or change it yourself at any time, and every charge is emailed in advance.

Optional · you set it up, we cannot
Paying without signing in Every invoice we email carries its own secure payment link, so you can pay a single invoice without an account. The portal is there for practices that want payment history, receipts and recurring payments in one place.

How your payment details are protected

The short version: we designed this so that we never hold anything worth stealing. EHR Express does not see, transmit or store your card number or bank credentials at any point.

Card data never touches us

You enter card and bank details directly into Intuit’s hosted payment page. Those details never pass through ehrexpress.com, and there is no copy of them on any system we run. We see that an invoice was paid — not how.

PCI scope sits with the processor

Because card data never reaches us, the PCI DSS obligations for storing and transmitting it sit with Intuit, who are assessed for exactly that. Fewer parties holding your data is the entire point of the arrangement.

Encrypted end to end

Every page here and on the portal is served over HTTPS with a current certificate, enforced by HSTS so a browser will not connect over plain HTTP even if asked to.

Your portal login is yours

The QuickBooks portal signs you in with a one-time code emailed to you — there is no password for us to see, lose or ask you for. If anyone claiming to be us asks for a code you were sent, it is fraud.

No patient data, ever

Billing is entirely separate from any clinical system we run for you. No protected health information is involved in paying an invoice, and none is stored alongside billing records.

Every charge is documented

You get an emailed receipt for every payment and can download the full history from the portal. Recurring payments are set up by you, changed by you, and cancelled by you.

What we will never do

Invoice fraud is one of the most common attacks aimed at medical practices, and it usually arrives looking exactly like a normal billing email. These are our fixed rules — if something claiming to be us breaks one of them, it is not us.

  • We will never email you to say our bank details have changed. Not ever. If you receive that message, it is fraudulent — call us on a number you already have.
  • We will never ask for your card number, CVV or online banking credentials by email, text or phone.
  • We will never ask for your portal password, or ask you to read a verification code aloud.
  • We will never demand immediate payment to avoid your service being suspended. Genuine overdue notices come with a normal timeline and a real person to talk to.
  • We will never ask you to read back a one-time code that Intuit emailed you. Nobody legitimate needs it.
  • We will never send payment links pointing anywhere other than intuit.com domains, or ask you to pay through a different processor “just this once”.

What a genuine invoice from us looks like

Because we bill through QuickBooks, our invoices have a consistent shape. Check any invoice against this before paying — it takes ten seconds and defeats almost every impersonation attempt.

Verifying an EHR Express invoice
SenderArrives from an intuit.com address on our behalf — typically quickbooks@notification.intuit.com — showing EHR Express as the business.
Payment linkThe Review and pay button goes to an intuit.com domain. Hover it and read the destination before clicking. Anything else is not ours.
AmountMatches a quote or agreement you have already seen. We do not invoice for work you have not agreed to.
Bank detailsAre not in the email at all — payment happens inside the portal. An emailed invoice containing account and routing numbers is not from us.
ToneOrdinary. No deadline pressure, no threat of suspension, no secrecy.
If an invoice looks wrong, stop and call Verify on a phone number you already had — not one written in the message. A genuine invoice from us will still be there in ten minutes. Our guide Spotting phishing at the front desk covers the wider pattern, and is worth sharing with whoever handles your payments.

Questions about a bill

Billing questions go to a person, not a queue. Email info@ehrexpress.com with your invoice number and we will answer within one business day. If you need to dispute or pause a charge while we sort something out, say so — we would far rather hold the payment than argue about it afterwards.

FAQ

Do I need a QuickBooks or Intuit account to pay?

No. The Review and pay link in your invoice email works on its own, with no account and no sign-in. The portal is optional — useful if you want payment history and receipts in one place.

Why does the payment page say Intuit rather than EHR Express?

Because it genuinely is Intuit — they process the payment and hold the card data, which is exactly why your details are safer there than on our site. You should see EHR Express named as the business on the page. If you see a different business name, stop and call us.

Is there a fee for paying by card?

Card payments may carry a processing fee, which is always shown before you confirm — you will never be charged an amount you have not seen. Bank transfer has no fee and is the better option for larger project invoices.

Can we pay by check?

Yes, though it is slower to reconcile and we will ask you to email us when it is sent. Get in touch and we will confirm where to post it — and note that we will only ever confirm those details in a message you initiated, never in an unprompted email.

Someone emailed asking us to update your bank details. Is that you?

No. We never change bank details by email. Do not reply, do not pay, and call us on a number you already have. Please forward it to us as well — if someone is impersonating us to our clients, we want to know immediately.

How long do you keep our billing records?

Invoices and payment records are kept as long as tax and accounting rules require. They contain no card numbers and no patient information — only what an invoice needs.
